Manage Center Portfolio Artifacts

This guide explains how to access documents and resources - such as publications, lesson plans, newsletters, and pictures stored in the Center Portfolio. The page contains search fields and quick-access folders to refine your search,

Step 1: Access the page

         

  1. First access the Portfolio section by clicking on the hamburger menu item. See image above 
  2. Next click on the + button, to expand the Portfolio section. 



  3. Then click on “Manage center portfolio artifacts” link from the Portfolio section. Once you click on this link, you are taken to the Search Center Portfolio page.

Step 2: Navigation

  • Home Button (Top Left): Takes you back to the dashboard.
  • Breadcrumb (San Marcos Campus > Search Center Portfolio): Shows your current location in the portal.

Step 3: Search Center Portfolio Page

This page allows you to search for specific artifacts within the Center Portfolio.

A. Search Center Portfolio: You can enter as much or as little information as needed - the more details you provide, the more accurate your search results will be.

  • Title – Enter the title or keyword of the artifact you are searching for.
  • Description – Provide a short description or keyword to help narrow down the search.
  • Category – Select the artifact category (e.g., Publications, Profile Photo, Newsletter, Insights etc).
  • Date from / Date to – Use the calendar picker and enter a date range to find artifacts uploaded or modified within the specified dates.
  • Only show documents not available to others – Tick this box to filter and show only documents that are private or restricted.
  • Only show documents I own – Tick this box to view only documents you uploaded or own.

Click Search to execute the search based on the information and filters entered. Click Cancel to clear all fields and return to the previous state or stop the current search process.

B. Folders Section: Below the search area, you can also access commonly used folders directly.
  • Lesson Plans – Contains all uploaded lesson plan documents.
  • Newsletter – Stores published newsletters for reference.
  • Pictures – Contains images or visual artifacts related to the center’s activities.

Action Buttons in the Center Portfolio page:

  • Delete – Deletes the selected artifacts.
  • New Search – Starts a new artifact search. Repeat the process described above.
