Manage an Archived Account

This page is a dashboard of all archived accounts in the system and provides important information to the Facility administrators at a glance on what needs attention. Highlighted line entries need attention based on specific conditions.

Step 1: Access the Form

  1. First access the Account Management section by clicking on the hamburger menu item. See image above
  2. Next click on the + button, to expand the Account Management section.

  3. Then click on “Archive” link from the Account Management section. Once you click on this link, you are taken to the Disabled Accounts page.

 

Field Descriptions

  1. No.
    • The serial number of the account in the list (e.g., 1, 2, 3…).
  2. Account
    • A unique account ID number (e.g., US1IT2025085043).
    • This ID is clickable and opens detailed account information. For archived accounts the information shown is as per below
  3. Primary Parent/Guardian
    • Displays the name of the parent/guardian and their relationship to the student(s) (e.g., Chandler, Silvia).
  4. Other
    • Displays the name of an additional parent/guardian (e.g., Chandler, David).
  5. Action
    • Provides options for managing an archived account.
    • REACTIVATE – Click this if this family is a returning family (account) that may have a new sibling added or an existing child re-enrolling after disenrolling.

Tips for Accuracy and maintaining a good system:

Before adding a new family, check if they already exist in the active account list or archive list:

  • If you determine that it is a family that is returning, then reactivate them so that their entire history is maintained in the same account.
  • Hint: Search for a family in the portal.

NOTE: Although you can create a new account for a returning family, it is best practice to reactivate an existing account to add additional siblings / re-enrolling an existing child, as previous history and notes are maintained in the same account and provide continuity.
