Manage an Existing Account

This page is a dashboard of all active accounts in the system and provides important information to the Facility administrators at a glance on what needs attention. Highlighted line entries need attention based on specific conditions.

Meaning of Highlighted Colors

  • Pink Row → The account has students with no deposit.
  • Yellow Row → The account has 0 students enrolled and can be disabled.

Step 1: Access the Form

  1. First access the Account Management section by clicking on the hamburger menu item. See image above.
  2. Next click on the + button, to expand the Account Management section.

  3. Then click on “Manage an existing account” link from the Account Management section. Once you click on this link, you are taken to the Account Managements Page.

 

Field Descriptions

  1. No.
    • The serial number of the account in the list (e.g., 1, 2, 3…).
  2. Account
    • A unique account ID number (e.g., US1IT2023033414).
    • This ID is clickable and opens detailed account information.
  3. Primary Parent/Guardian
    • Displays the name of the parent/guardian and their relationship to the student(s) (e.g., Gokhale, Shrirang (Father)).
  4. # Issues
    • Number of unresolved issues linked to the account.
    • A “0” means no open issues.
  5. Deposit
    • The deposit amount paid for the student(s) under this account.
    • If zero, the row may be highlighted yellow (indicating no deposit).
  6. Balance
    • The outstanding balance due for the account.
    • Shows the total amount owed (e.g., 24,739.20).
  7. EFT/ACH
    • Indicates if Electronic Fund Transfer or Automated Clearing House payment is set up.
    • Typically shows "---" if not enabled.
  8. # Enrolled
    • Number of students currently enrolled under this account.
    • If this is “0,” the account may need to be disabled (highlighted pink).
  9. # Enrichment
    • Shows the number of enrichment programs the student(s) are enrolled in.
  10. Action
    • Provides options for managing the account.
    • DISABLE – Click this if the account has no students enrolled or needs to be removed from active listings.

Tips for Accuracy and maintaining a good system:

Set aside time on a weekly basis to check on this dashboard and take actions accordingly. To speed up review time:

  • Review accounts with highlighted rows.
  • Use # Issues to track unresolved concerns associated with the family.
  • Ensure deposits are made before confirming enrollment. NOTE: This depends on the policy for the facilities.
  • Disable accounts with 0 enrollments to maintain a clean system. NOTE: Although the disable option maybe clickable, the system may prevent an account from being disabled if there is a balance owing, or if there is a student with an active enrolment profile
