Account Detail Page – Add or modify a student enrollment profile

The Add a Student Page (Part B only) consists of adding a program (including classroom, start date, and attendance schedule) for a student.

Step 1: Locate the Account

At the top of the page, you’ll see the navigation path (breadcrumbs):

  • Use this path to confirm you are in the correct account.

Click the earlier steps (e.g., Accounts) to go back. 

 

Step 2: Review Student Information

Notice that a student without an enrolment profile will show a blank entry on the right half of the screen, indicating there is not an enrollment profile for that student.

 

Step 3: Add Student enrollment profile

In the above image, clicking on the child’s name (Jay Chandler) or on the Enrollment Profile will take you back to the update student page, but this time we will work on the lower half of the UI (adding a new student enrollment profile).

The screenshot below shows that currently Jay has no enrollment profile associated with him, and that you can now add a new enrollment profile.

Clicking on new takes you to the New Enrollment Profile page which you can complete

1. Student Information
  • The Student field will automatically display the name of the student (e.g., Jay Chandler).
  • Verify the student’s information before proceeding.
2. Program and Room (both fields are mandatory)
  • Program – Select the appropriate program from the dropdown menu. The Program Menu shows a list of configured programs for this school, and the names shown here should match the program names found in the fee schedule. IMPORTANT: The choice of program name determined the kind of FEES that gets applied, so it is very important to ensure that the correct program is chosen
  • Room – Select the assigned room for the student from the dropdown menu. The Room Dropdown does not populate until the program is chosen. Choices of rooms available is configured when the programs and classrooms are configured for the facility in the system.
3. Start Date (is mandatory)
  • The system automatically displays the earliest allowable start date. IMPORTANT: The system treats enrollment profiles as a LIFO (Last In First Out queue), so that you can create several enrollment profiles for the child going into the future. The system DOES NOT allow any program to overlap with another program, so it only shows dates that are allowable based on the most recent enrollment profiles start date. It must be one day after the start date of the most current profile.
  • The start date must be today or later, and must be after the last pending enrollment profile start date.
4. Schedule (two-week schedule)
  • The schedule must be set for the student.
  • Week 1 and Week 2 options are provided:
    • Check the days the student will attend (Monday through Friday).
    • Example: If the student attends full time, check all weekdays.
    • If attending part-time, select only the applicable days.
5. Finalizing Enrollment
  1. Review all details (program, room, start date, schedule).
  2. Click Continue to proceed. IMPORTANT: Clicking on continue sets off a chain of events that determines the fees owed, deposit amounts due, registration fees due etc.
  3. If you need to stop or discard changes, click Cancel.

The above screenshot shows that Jay is going to start at the school on Wednesday Aug 27, 2025 and will be attending all days of the week, and will be in the Infant: Full Day program in the Infant Room 1.

✅ Once you click on Continue, the student will have a valid enrollment profile in the system . The Update Student Page (bottom half) looks as per below:

Doing nothing OR Deleting / Adding / Withdrawing a Student Enrollment Profile

The Current Enrollment Profile shows the enrollment details, and the Enrollment Profile Tab shows the most recent enrollment profile entered on the top. At this stage you can do one of 4 things:

  1. If you determine that this profile is good, you can click on Back to Account page, or
  2. If you determine that this profile is erroneous, you can click on delete which makes you delete this enrollment profile that you created. NOTE: Once an enrollment profile is in the past (i.e. if your current date is greater than the enrollment start date, then you cannot delete the profile, you can only withdraw
  3. If you want to add a new program following this change you can select new. You use this step if you wish to add a continuing program (future capacity planning) for this child (anticipating that they will continue and do their move ups / age ups). Clicking on new takes you to the New Enrollment Profile page with one significant difference, the start date is no longer Aug 27, 2025 because that is already taken by the current enrollment profile, you can only start a new program from August 28 2025.
  4. If you know the duration that the child will be at the facility, you can also choose to withdraw the child

The withdraw screen is shown below

NOTE: You can withdraw a child on the same day as the day they enrolled, except that the family will be charged fees for the single day. This is a convenient way to enroll a child for a single day, (drop-in fees). See screenshot below

Below are some of the reason codes for withdrawing a student. Make sure to familiarize yourself with these reason codes as they help Management understand the true reasons for a family to withdraw their child from the facility.

 

Best Practices

  • Always confirm with the registration package that is signed off with the parent, the program, the start date and the schedule that was agreed upon. The administrator usually determines the classroom based on availability.
  • Double-check the start date because once committed, the billing kicks in and amounts get calculated.
  • Keep records consistent with the Subsidy Information (if applicable from the student profile).
  • When withdrawing a student, ensure that you have sufficient notice for withdrawal. You cannot withdraw a student in the past. The earliest withdrawal date possible is the greater of the start date of their most recent enrollment profile and today’s date. Familiarize yourself with the withdrawal reason codes and pick the most appropriate reason. A well-chosen reason and well documented reason is the most important feedback you can provide for a departing family, as they help management improve the service offered.
