Account Detail Page – Add a Student (without enrollment profile)

Add Student Page (Part A only). This document explains the Add Student Page and how to use it for managing student enrollment including their program, fees, permissions. Part A deals with adding a student with basic information.

Step 1: Locate the Account

At the top of the page, you’ll see the navigation path (breadcrumbs):

  • Use this path to confirm you are in the correct account.
  • Click the earlier steps (e.g., Accounts) to go back.

 

Step 2: Review Parent/Guardian Information

In the Parents / Guardians box:

  • You’ll see the name, address, and phone numbers of the guardian.
  • Ensure that this is the account to which you will add a student (child)

 

Step 3: Add Student (without an enrollment profile)

The Add Student button is visible on the Account Detail page in a rectangular box and is always available to add any number of students for that family account. Correct student enrollment is IMPORTANT.

Many billing decisions are made based on the child’s age and the program (not to be confused with the classroom) they will be enrolled in. All of these flow from a registration form completed by a parent or guardian prior to enrollment.

This document focues on creating a student without an enrollment profile.

1. Student Information Section

*Required Fields (marked with)

  • First Name* – Enter the student’s first name.
  • Last Name* – Enter the student’s last name.
  • Sex* – Select from the dropdown (Male/Female/Other).
  • Birth Date* – Use the calendar picker to select the student’s date of birth. The date must be today or later and cannot be in the past.

Optional Fields

  • Middle Initial – Enter if available. Make sure to enter only a single letter.
  • English is spoken at home? – This field defaults to “None” if the person entering the data is unaware of the main language spoken at home. If English is a second language spoken, enter No, otherwise Yes for those families where English is the main language.

2. Select Authorizations
  • Authorize for Portfolio?* – Choose Yes or No. The Yes or No choice is based on parental consent completed by the parent at the time of completing the registration package. The user must confer this document prior to completing this field.
  • Authorize for Marketing?* – Choose Yes or No. The Yes or No choice is based on parental consent completed by the parent at the time of completing the registration package. The user must confer this document prior to completing this field.
3. Enter Subsidy Information (complete this ONLY IF the child has been approved for subsidy by an agency the facility has an agreement with), otherwise skip this section. Note that sometimes you may not have all the information for completing the subsidy info at the time of registration, you can always come back to this page to update that information.
  • Subsidy ID – Enter the ID number provided by the subsidy agency.
  • Subsidy Type – Select the appropriate subsidy type from the dropdown. Choose the correct agency
  • Subsidy Expiry Date – Use the calendar to choose the subsidy expiration date. Depending on the date chosen, the cell may turn one of two colours below:
    • Yellow Highlight: The voucher is expiring within a month.
    • Red Highlight: The voucher has expired.
  • Subsidy Agency Enrollment Type – Select from the dropdown (e.g., FT - Full Time).
  • Subsidy Description – Enter any special notes or instructions (e.g., “This child’s subsidy needs to be reviewed every month”).
4. Saving the Student information (without an enrollment profile)
  1. Review all fields for accuracy.
  2. Ensure all required fields are completed.
  3. Click Continue button. Upon clicking this button, the student Jay Chandler will be created with appropriate information as entered. See below, the enrollment profile for Jay is currently empty.

Best Practices

  • Always double-check dates (birth date and subsidy expiry).
  • Ensure authorizations are set correctly as per parent/guardian consents found in the signed registration package.
  • Use clear, professional language in the Subsidy Description box.
