Account Detail Page

This document explains each part of the Account Detail Page and how to use it for managing parents/guardians, students, and financials.

The Account Detail Page is the launch pad from where a majority of the activities related to managing parents and their children are carried out. This document only summarizes this page and explains basic functionality, while some subsections will be discussed in separate documents as they merit a deeper understanding of managing family account and enrollments and billing. 

Step 1: Locate the Account

At the top of the page, you’ll see the navigation path (breadcrumbs):

  • Use this path to confirm you are in the correct account.
  • Click the earlier steps (e.g., Accounts) to go back.

 

Step 2: Review Parent/Guardian Information

In the Parents / Guardians box:

  • You’ll see the name, address, and phone numbers of the guardian.
  • The email is clickable for quick contact.
  • The Login Name is the unique system ID, and is also known as the account number of the primary parent in this case it is US1IT2025085043.
  • A link allows you to reset the account password if needed.

🔘 + Add a Parent: Use this button to add another parent/guardian. The instructions for adding a parent/guardian are nearly identical as those found in Create a new family account.

Viewing SMS Opt-in in Your Account

  • When your account is created or updated, and you have opted in to SMS, your details appear on the Parents/Guardians account page.
  • Next to your Mobile Phone number, you will see a speech bubble symbol .
    • This indicates that you have chosen to receive SMS notifications.
    • If the symbol does not appear, SMS Opt-in is not enabled.

Notes

  • Make sure your phone number is correct since this will be used for SMS updates.
  • Choosing to receive SMS is optional but recommended for timely updates.
  • You can stop receiving SMS at any time by updating your account details and unchecking the SMS Opt-in box.

 

Step 3: Add or View Students

In the Students box:

  • This section lists all students linked to this account.
  • To add a new student, click + Add a Student. Refer to Add a Student document on how to create an enrollment profile for a student.

 

Step 4: Check Account Management (Right Panel)

The Account Management panel summarizes account details:

  • Account ID: Unique identifier (e.g., US1IT2025085043).
  • Billing Cycle: Shows frequency (e.g., Weekly).
  • Bill To: Name of the person responsible for payments.
  • Status: Green = Active; if inactive, will display differently.
  • Client Since: Date account was created.

⚙️ Actions available:

  • Reset account password – allows for the account password to be reset (it is identical to the login invitation page for the account.
  • Disable account – allows for an account to be disabled, under specific circumstances such as:
    • if the account has no children or has no children with an active enrollment profile AND
    • no balance owing

 

Step 5: Review Financials (Right Panel)

The Financials panel shows balances and payments:

  • Balance: Current balance owed.
  • Overdue: Amount past due.
  • Last Payment: Displays the last recorded payment.
  • Deposit: Any deposit made.
  • EFT/ACH: Indicates if electronic payment is set up.

 

Step 6: Manage Payments & Transactions

Below the financials panel are quick action links:

  • Pay With PayPal – Process a payment online.
  • Print Payment Schedule – Print for parent review.
  • View Transactions – Check payment history.
  • View Current Account Statement – Generate statement.
  • Enter Payment – Record a manual payment.
  • Update EFT/ACH – Add or change bank transfer setup.
  • Prepare Upcoming Account Statement - Creates a preview of your next account statement and allows manual adjustments (e.g. Charges, Credits to be added) before it is officially generated.
  • Print Tax Recipts - Generates receipts for tax purposes, useful for annual filing of tax receipts for parents
  • Fee Schedule - Displays the list of fees, subsidies, discounts and other financial parameters associated with the facility

 

Account Issue Management Section

The account issue management section shows two buttons and is useful in managing issues for parents at the account level.

Open new account issue: Using this button the administrator can create a new account issue.

View all account issues: The administrator can view all current and past account issues related to this parent by clicking on the button.

Once an issue is created, the Account Detail Page, now shows the issues listed by number and type

Best Practices

  • Always confirm you are in the correct account before making changes.
  • Keep parent contact details up to date.
  • Monitor balance and overdue amounts
  • Encourage parents to use EFT/ACH for reliable automated payments.
  • Document changes when adding parents/students.
